This Privacy Policy explains how CL Coaching Services LLC (“we,” “us,” or “our”) collects, uses, and shares information about you when you use VolleyCoach AI (the “Service”). It also explains your choices and rights regarding that information.
By using the Service, you agree to the collection and use of information as described in this Policy.
1. Who We Are
CL Coaching Services LLC, a Minnesota limited liability company, is the controller of the personal information we collect through the Service.

2. Information We Collect
We collect only the information needed to operate the Service. We do not sell personal information, and we do not use your content to train AI models.
a. Information you give us
- Account information. Your email address and a hashed password when you create an account, managed through our authentication provider, Supabase.
- Profile and role information. Your role on the Service (free, coach, or admin), assigned automatically based on your subscription state.
- Practice content. Practice plans, custom drills, drill notes, saved drill bookmarks, and drill requests you create or submit within the Service.
- AI inputs and saved variations. Questions you ask the AI features, parameters you provide for AI-generated practice plans, and AI-generated drill variations that are automatically saved to your account (up to 5 most recent for paid subscribers).
- Support correspondence. Anything you send us by email or through the Service when you contact support.
b. Information collected automatically
- Usage data. Counts of AI feature calls (so we can enforce monthly limits) and timestamps of those calls.
- Analytics data. We use PostHog, a product analytics service, to collect usage events (such as page views, button clicks, feature usage, and drill interactions), device type, browser type, and uncaught JavaScript errors. This data helps us understand how the Service is used and fix problems. PostHog assigns a random identifier to your device; we also link analytics events to your account email when you are signed in so we can provide support and improve the experience. We do not use this data for advertising.
- Technical data. Standard web log data such as IP address, browser type, and pages visited, collected by our hosting provider (Netlify) and database provider (Supabase) for security and operations.
- Authentication data. Session tokens stored in your browser to keep you signed in.
c. Payment information
We do not collect or store your full credit card or bank account information. Payment processing is handled by Stripe. We receive from Stripe a customer identifier, your subscription ID, the plan you selected, your subscription status, and the period end date. 3. How We Use Your Information
We use your information to:
- Create and manage your account and authenticate you.
- Provide the Service, including saving and retrieving your practice plans, drill library bookmarks, and AI conversations.
- Process AI feature requests and enforce monthly usage limits.
- Process subscriptions, billing, and renewals through Stripe.
- Communicate with you about account-related matters, security alerts, billing notices, and material changes to the Service or these policies.
- Monitor, troubleshoot, and improve the Service.
- Detect and prevent fraud, abuse, and security incidents.
- Comply with legal obligations.
We do not use your information for advertising. We do not show third-party ads on the Service.
4. How We Share Your Information
We share your information only with the following categories of recipients:
a. Service providers (subprocessors)

These providers are bound by contract to use your information only to provide their services to us. Anthropic processes data in accordance with its privacy policy and does not use API inputs to train its models. PostHog processes data in accordance with its privacy policy.
b. Legal and safety
We may disclose information if we believe in good faith that disclosure is required to comply with a law, regulation, court order, or government request; to protect the rights, property, or safety of CL Coaching Services LLC, our users, or others; or to enforce our Terms of Service.
c. Business transfers
If we are involved in a merger, acquisition, financing, or sale of all or part of our assets, your information may be transferred as part of that transaction. We will provide notice (for example, by email or in-app) before your information becomes subject to a different privacy policy.
We do not sell your personal information to third parties, and we do not share it with advertisers.
5. International Data Transfers
We are based in the United States, and our service providers (Supabase, Anthropic, Stripe, Netlify) primarily store and process data in the United States. If you are located outside the United States, your information will be transferred to and processed in the United States, which may have different data protection laws than your country.
6. Data Retention
We retain your information for as long as your account is active and as long as needed to provide the Service.
- Account data is retained until you delete your account.
- Practice plans and saved drills are retained until you delete them or your account.
- Saved AI variations are retained up to a maximum of five (5) per user; the oldest is automatically deleted when a new one is saved.
- Drill requests are retained until fulfilled, declined, or your account is deleted.
- AI usage counters roll over on a 30-day cycle.
- Analytics data is retained by PostHog in accordance with their data retention policies, typically for the duration of our account with them.
- Billing records may be retained for up to seven (7) years to comply with tax and accounting laws, even after account deletion.
- Backups and logs are retained on a rolling basis (typically less than 90 days) by our hosting providers.
When you delete your account, we delete or anonymize your personal information within 30 days, except for information we are legally required to retain.
7. Security
We use reasonable administrative, technical, and organizational measures to protect your information, including:
- Encryption in transit (HTTPS) for all communication with the Service.
- Encryption at rest provided by our database and storage providers.
- Database row-level security policies that prevent users from accessing other users' data.
- Restricted access to production systems, limited to authorized personnel.
- Authentication and password storage following industry standards (handled by Supabase).
- API keys for third-party services held only on the server, never exposed to the browser.
No security system is perfect, and we cannot guarantee absolute security. If we become aware of a security incident affecting your information, we will notify you and the appropriate authorities as required by law.
8. Your Rights and Choices
Depending on where you live, you may have the following rights regarding your personal information:
- Access: request a copy of the personal information we hold about you.
- Correction: request that we correct inaccurate or incomplete information.
- Deletion: request that we delete your account and personal information.
- Portability: request a copy of your information in a machine-readable format.
- Objection / restriction: object to or request limits on certain processing.
To exercise any of these rights, email clcoachingservices@gmail.com from the email address associated with your account. We will respond within a reasonable time and within the timeframes required by applicable law.
You can also:
- Update your email or password in the app's account settings.
- Cancel your subscription at any time through the in-app billing portal (Stripe Customer Portal).
- Delete individual practice plans and saved drills from within the Service.
9. Cookies and Tracking
The Service uses a small number of cookies and browser-storage items:
- Authentication. Session tokens issued by Supabase to keep you signed in. These are strictly necessary for the Service to function.
- Analytics. PostHog sets a cookie to assign a random device identifier so we can understand how the Service is used and fix bugs. When you are signed in, analytics events are linked to your account so we can provide support and improve features relevant to you. PostHog does not track you across other websites.
We do not use third-party advertising cookies or cross-site tracking. We do not sell analytics data.
10. Children's Privacy
The Service is intended for users 18 years of age and older. We do not knowingly collect personal information from anyone under 18. If you believe a child under 18 has provided information to the Service, please contact us at clcoachingservices@gmail.com and we will delete the information.
11. Do Not Track
Some browsers send a “Do Not Track” signal. Because there is no industry-standard interpretation of this signal, the Service does not currently respond to it. We do not track you across third-party websites.
12. California, Minnesota, and Other State Privacy Rights
If you are a resident of California, Minnesota, or another U.S. state with a comprehensive consumer privacy law, you may have additional rights, including the rights described in Section 8 above. You may also have the right not to be discriminated against for exercising those rights. We do not sell or share personal information for cross-context behavioral advertising as defined under California law.

13. Changes to This Policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top reflects when the current version took effect. For material changes, we will give reasonable notice (for example, by email or in-app notification) before the changes take effect. Your continued use of the Service after the effective date constitutes acceptance of the revised Policy.
